External Supplier Communication
Hotel and Venue Acceptances:
ICOR conducts all relevant communication on behalf of the corporate to all accepted accommodation and venue providers, as well as all system and agency suppliers following the sourcing process. Communication includes:
- Formal acceptance letter of proposal
- Formal contract return
- Data vault storage of pricing terms and conditions
- GDS loading instructions including global travel agency Pseudo City Code information in order to open access to appointed agencies serving the organisation
- Uploading of preferred hotel programme with agreed rates and terms onto nominated self booking tools
Hotel and Venue Rejections:
ICOR conducts all relevant communication to rejected accommodation and venue providers by way of “a formal thanks for participation in the pricing process letter”, which also includes an outline of reasons for rejection.
Internal Corporate Communication
ICOR works diligently with its customers to ensure that the completed programme is communicated to all corporate users in the most effective way so that adoption and compliance to the programme can then follow. ICOR utilises a number of tools and methodologies that can be utilised to communicate and promote the program internally.
ICOR utilises a number of tools and methodologies to communicate and promote the program internally including the ICOR “e-Directory” which offers an online directory listing that can be specifically tailored to incorporate all facilities and bespoke customer preferred hotels and venues, along with any specific customer hotel or venue value added benefits. The elements that can be displayed are unlimited and are not restricted if the relevant data is collected.
